Procedures:

To add, modify, or delete a course:
1) Login to CIM COURSES

For a new course, please also insert a sample syllabus* into the file after the form. The form and syllabus  MUST be saved as s a single PDF document according to the naming convention described above. Only PDFs will be accepted. 

A change in course prefix cannot be submitted as a modification. Instead, complete (a) a form to delete the old course and (b) a form to add the new course. In this circumstance, a syllabus does not need to be provided for the new course, but please identify the old course that is being replaced.

2) Submit for department and/or college review in accordance with the curriculum review requirements of the sponsoring college or school. (Specific procedures and requirements vary by unit.You should be able to see where your proposal is within the process by logging into CIM.)

3) Proposals must also be approved by any other unit(s) that may be affected. If a proposal affects another unit, or if a new course is proposed, the proposal will be listed on the pre-meeting feedback survey to give council members the opportunity to address potential concerns prior to the meeting.

NOTE: The sponsoring college is responsible for submitting the materials for Undergraduate Council review at least two weeks in advance of the meeting by completing the CIM Courses submission forms.

4) If the Undergraduate Council recommends the proposal, the proposal will be forwarded to the Office of the Registrar for implementation and inclusion in the University Catalog.

To add, modify, or delete a concentration, certificate, minor or degree program:

1) Login to CIM PROGRAMS

Upload a PDF form justifying or explaining your program edit, creation, or deletion. Only PDFs will be accepted.

2) Submit for department and/or college review in accordance with the curriculum review requirements of the sponsoring college or school. (Specific procedures and requirements vary by unit.You should be able to see where your proposal is within the process by logging into CIM.)

3) Proposals must also be approved by any other unit(s) that may be affected. If a proposal affects another unit, or if a new program is proposed, the proposal will be listed on the pre-meeting feedback survey to give council members the opportunity to address potential concerns prior to the meeting

For New Degrees Only (not minors or certificates).

New degree programs require considerable additional processing time and documentation because they must also be approved by the State Council of Higher Education for Virginia (SCHEV). Please contact Susan Woodruff, Coordinator for Academic Program Development at (703) 993-8825 with questions

Modifications involving offering a certificate or degree program online, off-campus, or in collaboration with another institution (e.g., in a dual degree arrangement) may also require reporting to the Southern Association of Colleges and Schools “ Commission on Colleges (SACS-COC). Courseleaf

All course and program proposals will be submitted through the Courseleaf system.  Questions about Courseleaf should be directed to the Registrar’s Office or your department’s catalog author.

Specialized Designations 

New courses that have special designations such as Greenleaf, Research and Scholarship Intensive, and Mason Core have additional steps in CIM after they are approved in UGC. If your course is already being taught and you wish to submit it for approval for a specialized designation, you may begin that process directly.
